eduSeed Zoom Integration Privacy Policy

This Privacy Policy describes how eduSeed collects, uses, stores, and shares information in connection with the eduSeed Zoom integration used by administrators and instructors.

1. Who We Are

eduSeed is an education platform used to manage classes, schedules, learning activities, related communication workflows, and connected services such as Zoom.

2. Scope

This Privacy Policy applies to information collected through:

• the eduSeed web application;
• administrator and instructor Zoom connection workflows;
• Zoom OAuth, recording, transcript, and webhook workflows; and
• communications or support interactions related to the eduSeed Zoom integration.

3. Information We Collect

We may collect and process the following categories of information:

A. Account and profile information

• Name
• Email address
• Role within eduSeed, such as administrator or instructor
• Account identifiers and authentication-related metadata

B. Class and learning information

• Class schedules and enrollment information
• Course and class records
• Instructor notes and approved class summaries
• Homework, attendance, and related educational workflow data

C. Zoom integration data

If a user connects a Zoom account to eduSeed, we may collect:

• Zoom user ID
• Zoom account ID
• Display name and email address returned by Zoom
• OAuth scopes and token expiry metadata
• Encrypted Zoom OAuth access and refresh tokens
• Zoom cloud recording metadata
• Zoom transcript text
• AI-generated draft class summaries derived from transcripts

D. Technical and usage information

• Device, browser, and log data
• IP address and approximate diagnostic metadata
• Error logs and operational events
• Audit events related to sensitive administrative actions

4. How We Use Information

We use collected information to:

• provide, operate, and maintain the eduSeed Zoom integration;
• authenticate users and enforce role-based access;
• manage schedules, classes, attendance, and homework workflows;
• connect authorized Zoom accounts to eduSeed;
• receive Zoom recording webhooks and retrieve recording transcript data;
• generate draft class summaries for instructor or administrator review;
• improve functionality, monitor reliability, and troubleshoot issues; and
• comply with legal, contractual, or security obligations.

eduSeed does not automatically send Zoom-generated class summaries to parents in the current version of this workflow.

5. How Zoom Data Is Handled

When a Zoom account is connected:

• the user is redirected to Zoom to authorize eduSeed through OAuth;
• eduSeed stores connection metadata needed to associate the Zoom account with the correct eduSeed user;
• Zoom OAuth access and refresh tokens are stored encrypted at rest;
• Zoom recording and transcript data may be retrieved after Zoom sends a recording-related webhook;
• transcript text may be processed to create draft class summaries; and
• draft summaries remain reviewable and editable by authorized users inside eduSeed.

Webhook requests are validated using Zoom's signature verification mechanism and shared secret token before processing.

6. AI Processing

eduSeed may use AI services to generate draft class summaries from transcript content. These summaries are intended as drafts for human review and editing. Authorized instructors and administrators remain responsible for reviewing content before approval or further use.

7. Sharing of Information

We do not sell personal information.

We may share information with:

• service providers and infrastructure vendors that support eduSeed operations;
• Zoom, in connection with the Zoom integration and user-authorized OAuth flows;
• AI service providers used to generate draft summaries from transcript content;
• authorized administrators and instructors based on role and access permissions; and
• regulators, law enforcement, or other parties where required by law or to protect rights, safety, or security.

8. Data Storage, Security, and Retention

We use reasonable technical and organizational safeguards designed to protect information, including:

• HTTPS/TLS for data in transit;
• managed secrets for sensitive credentials;
• encryption for stored Zoom OAuth tokens;
• authentication and role-based access controls; and
• row-level database access controls where applicable.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

We retain information for as long as reasonably necessary to provide services, maintain operational records, comply with legal obligations, resolve disputes, and enforce agreements.

In general:

• account and operational records are retained while the account or service relationship remains active and for a reasonable period afterward;
• Zoom connection data may be retained while the integration is active and as needed for audit or troubleshooting purposes;
• approved or draft class summaries may be retained as part of the educational record within eduSeed unless deleted under applicable retention rules.

9. User Choices and Rights

Depending on applicable law, users may have rights to request access, correction, deletion, restriction, objection, or portability regarding their personal information.

Users may also:

• disconnect Zoom integrations where permitted by the application workflow;
• request account updates through their organization or administrator; and
• contact us using the details in this policy.

10. Student Data and Minor Users

eduSeed may be used in educational contexts involving minors. eduSeed is intended to be deployed and managed by educational operators or authorized organizations, and use of the platform should occur under their direction and with appropriate permissions and notices.

11. Third-Party Services

eduSeed may link to or rely on third-party services. Their privacy practices are governed by their own policies and terms. We encourage users and customer organizations to review the policies of relevant providers, including Zoom and any AI service provider used in the workflow.

Your information may be processed in countries other than your own, including through cloud and infrastructure providers, where applicable.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be posted with a revised effective date.
